Welcome to the Terms and Conditions of Foxy Gems Empowerment (referred to as Foxy Gems Crafts Club).

1. Booking and Payment

Full payment is required at the time of booking to secure your child's place. Places are allocated on a first come first served basis and are not confirmed until payment has been received in full. Foxy Gems Craft Club reserves the right to cancel an unconfirmed booking if payment is not received.

2. Registration Form

A completed registration form must be submitted before your child can attend their first session. This form collects essential information including medical details, emergency contacts and photo permissions. Failure to submit a completed registration form prior to the first session may result in your child being unable to participate. It is the parent or guardian's responsibility to ensure the form is submitted promptly after booking.

3. Cancellation and Refunds

Cancellations made more than 14 days before the first session of the term will receive a full refund.

Cancellations made within 14 days of the first session of the term are non-refundable.

Once the term has commenced no refunds will be issued for individual missed sessions regardless of the reason including illness, holidays or other commitments. This is because staffing, materials and venue costs are committed in advance for the full term.

If your child is unable to continue attending mid term we are unable to offer a refund for remaining sessions. We recommend considering carefully before booking whether your child will be able to commit to the full term.

If Foxy Gems Craft Club cancels a session for any reason including staff illness or circumstances beyond our control a full credit or refund will be issued for that specific session.

If Foxy Gems Craft Club cancels the entire programme before it commences a full refund will be issued.

4. Cooling Off Period

In line with UK consumer rights you have a 48 hour cooling off period from the time of booking during which you may cancel and receive a full refund. Please note this cooling off period does not apply if your booking is made within 48 hours of the first session.

5. Session Changes

Foxy Gems Craft Club reserves the right to make changes to session dates, times, locations or content where necessary. Parents will be notified of any changes as soon as possible. No refunds will be issued for minor changes to session content or activity themes.

6. Absence and Missed Sessions

If your child is unable to attend a session please notify us as soon as possible by contacting us on 07526635942. Missed sessions cannot be carried over, exchanged or refunded. No reduction in fees will be made for sessions missed due to sickness, holidays or other absences.

7. Collection and Drop Off

Children must be collected promptly at the end of each session. A late collection charge of £5 per 10 minutes after the scheduled end time may apply. Children will only be released to adults named on the registration form as authorised collectors. If an unauthorised person attempts to collect a child we will follow our safeguarding procedure and contact the named emergency contact immediately. Children will not be permitted to leave unaccompanied unless written permission has been provided on the registration form by the parent or guardian.

8. Behaviour

Foxy Gems Craft Club operates a positive behaviour policy. We expect all children to treat staff, volunteers and other children with respect. We reserve the right to exclude any child whose behaviour poses a risk to the safety or wellbeing of themselves or others. In such cases a partial refund for remaining sessions may be offered at our discretion. No refund will be issued for sessions already attended.

9. Medical and Allergy Information

It is the parent or guardian's sole responsibility to ensure all medical and allergy information provided on the registration form is accurate, complete and up to date. Please notify us immediately of any changes to your child's medical information. Foxy Gems Craft Club cannot be held responsible for incidents arising from incomplete, inaccurate or undisclosed medical information. If your child requires medication to be administered during sessions this must be clearly stated on the registration form and accompanied by written parental consent and full instructions.

10. Food and Allergens

Foxy Gems Craft Club sessions do not include food provision unless specifically stated. However craft materials used in sessions may contain substances that could cause allergic reactions. It is the parent or guardian's responsibility to inform us of all known allergies on the registration form. We will make every reasonable effort to accommodate known allergies but cannot guarantee an entirely allergen free environment.

11. Photography and Social Media

Images and videos of children will only be taken and used in strict accordance with the photo permission option selected on the registration form. We operate a three tier permission system — full permission, limited permission or no permission. We will never share identifiable images of children without explicit parental consent. Parents who have granted full or limited permission consent to images being used on Foxy Gems Craft Club social media channels, website and marketing materials.

12. Personal Belongings

Children should not bring valuable items or electronic devices to sessions. Foxy Gems Craft Club cannot accept responsibility for loss or damage to personal belongings brought to sessions. Any items left behind will be held for two weeks and then donated to charity if uncollected.

13. Data Protection and GDPR

Your personal data and your child's information is collected, stored and processed in accordance with UK GDPR and the Data Protection Act 2018. We will only use your information to manage your child's place at Foxy Gems Craft Club, to communicate relevant updates about sessions and for purposes you have specifically consented to on the registration form. We will never sell or share your data with third parties without your explicit consent. You have the right to access, correct or request deletion of your data at any time by contacting us directly. 14. Liability and Insurance

Foxy Gems Craft Club holds full public liability insurance. We take all reasonable steps to ensure the safety and wellbeing of every child in our care. However Foxy Gems Craft Club cannot accept liability for injury, loss or damage arising from circumstances beyond our reasonable control or from information withheld by the parent or guardian.

15. Safeguarding and Child Protection

Foxy Gems Craft Club is committed to the safety and welfare of every child in our care. We have a written Safeguarding and Child Protection Policy which is available to parents and guardians on request.

The Designated Safeguarding Lead for Foxy Gems Craft Club is Shantelle Walker who holds a current enhanced DBS certificate and has completed safeguarding training in line with current statutory guidance.

All staff and volunteers working with children through Foxy Gems Craft Club hold a current enhanced DBS certificate issued by the Disclosure and Barring Service.

If a member of staff has a concern about the welfare or safety of a child in our care we have a duty to act on that concern. This may include making a referral to the relevant Local Authority children's services or contacting the police where necessary. We will always aim to inform parents or guardians of any concerns unless doing so could place the child at further risk.

Any safeguarding concerns or disclosures will be handled in strict confidence and in accordance with our Safeguarding and Child Protection Policy and current statutory guidance including Keeping Children Safe in Education 2025.

16. Health and Safety

All sessions are conducted in accordance with our Health and Safety policy and risk assessments. Parents and guardians are required to ensure their child is fit and well enough to participate. Please do not send your child to a session if they are unwell or have had a contagious illness within the previous 48 hours.

17. Changes to These Terms

Foxy Gems Craft Club reserves the right to update these terms and conditions at any time. Parents will be notified of any significant changes. Continued participation in sessions following notification of changes constitutes acceptance of the updated terms.
